We have arranged a group rate of $257.00 per night (plus taxes and fees), at the Gaithersburg Marriott Washingtonian Center (Headquarters) and the Courtyard Gaithersburg Washingtonian Center (Overflow). The cutoff date to make reservations at the group rate is Friday, September 1, 2023 by 5 p.m. Eastern Time. To make your reservation, click on the reservation link below. If you are a sponsored attendee, your hotel accommodations have been arranged for you. You will receive an email with your hotel confirmation information.
ETCTN grantees are responsible for their own hotel/travel expenses through their UM1 grant.

SHUTTLE INFORMATION FROM HOTEL

Shuttle service will be available to transport attendees from the Gaithersburg Marriott Washingtonian Center hotel to the NCI campus. Participants should meet in the hotel lobby 10 minutes prior to the departure of the shuttle.

No Return Service to Hotel Following the Meeting on September 29, 2023

Upon arriving at the NCI campus, passengers will exit the shuttle and proceed to the security area. Those without NIH badges will be asked to submit to a security screening. Visitors will be required to show one (1) form of identification (a government-issued photo ID, U.S. driver's license, passport, green card, etc.).

Early Departure

All guests must confirm their departure date upon check-in. If a guest departs earlier than the date confirmed at check-in, an early departure fee will be charged directly to the guest. Please see the check-in and check-out times noted above.

Reservation Cancellation Policy

Reservations may be canceled up to 72 hours prior to check-in without penalty. Any cancellation made less than 72 hours of the confirmed check-in date may incur a one-night room and tax penalty. If a guest fails to check in on the scheduled arrival date for a confirmed reservation, a one-night room, and tax no-show penalty will be charged, and the room will be released for sale for the remaining dates.

LUNCH MEALS/SNACKS 

Due to government regulations, we cannot provide food at this event. You will be responsible for purchasing all meals.  Only sponsored travelers will be reimbursed at the federal government per diem rate per meeting location; non-sponsored travelers will not be reimbursed.

Attendees will be responsible for providing their beverages and snacks.

The NCI Shady Grove cafeteria will now be self-checkout, accepting credit card payments only with one attendant on staff. Customers will scan and look up their items for purchase.

  • Friday, September 29, 2023 – Coffee and Beverages ONLY – NO LUNCH OPTIONS (attendees can order boxed lunches from The Bean Bag Deli (listed below) or go to the retail food options adjacent to NCI Shady Grove building).

Avanti Market/Snack Shop

It is located on the first floor of the Shady Grove building in 1E274. Open 24 hours a day, seven days a week, and offers fresh grab-and-go lunch options and snacks with self-service kiosk, credit or debit cards–does not take cash.

Nearby restaurants are open and available.  Participants leaving the building for lunch must use the main entrance on the 1st floor and return through the main entrance and security.

Ordering Lunch

Participants are encouraged to order lunch from The Bean Bag Deli, and our staff will pick up the lunches and deliver them to the meeting each day. The deadline to place a lunch order is Friday, September 22, 2023

  1. Go to the Bean Bag Deli website, The Bean Bag Deli.
  2. Select the appropriate date for your order “CTEP EDD and IDSC” meeting on the left side. There is an option for each day.
  3. Select your items.
  4. Click “Select Pick-Up Order” and then “Select a Date”: September 28 or September 29, and then select “11:00 a.m.” as the pick-up time
  5. Click "Place Order" in the My Order section on the right.
  6. Then, create an account, submit the payment, and submit your completed order.
